We attach great importance to the protection of your personal data and collect, process and use your personal data exclusively in accordance with the principles described below and in compliance with the statutory data protection regulations.

1 Scope and purpose of the processing of personal data when visiting the website

If you only visit our website and do not use any participation procedures, only the meta-communication data such as log data that your browser transmits to the server and that is technically necessary to access the website will be processed.

When you visit the website, each access is temporarily stored in a log file. For this purpose, log files are directly accessible for up to 24 hours and only for administrators. After that, they are only available indirectly via the reconstruction of backups and are permanently deleted after 7 days. The following data is recorded without any action on your part and stored until it is automatically deleted, even if you are not a registered user:

the date and time of access;
the name and URL of the retrieved file
the website from which the access was made
the operating system of your computer and the browser you are using
the name of your Internet access provider;
the IP address.

This data is processed for the purpose of enabling the use of the website (establishing a connection), ensuring system security and stability in the long term, enabling the technical administration of the network infrastructure and optimizing our website. The IP address is collected temporarily as described above, but is only analyzed in the event of attacks on the website's network infrastructure. The aforementioned data processing is carried out in accordance with Art. 6 para. 1 lit. e GDPR.

In addition, cookies and web analysis services are used when visiting the website as described below.

2. cookies

Cookies help in many ways to make your visit to the website easier, more pleasant and more meaningful. Cookies are alphanumeric information files. When you visit our website, only those cookies are automatically stored on your computer hard disk by your web browser that are necessary for the operation of the website for technical reasons and do not require your consent.

Cookies do not damage your computer's hard disk, nor is personal data transmitted to us when cookies are set.

You can also reject the acceptance of cookies centrally via your browser settings. If you do so, you may not be able to use all the functions of this website to their full extent.

We base the use of technically necessary cookies on Art. 6 para. 1 lit. e GDPR. We describe the cookies used below.

Use of session cookies (X-Client-Id)

The platform uses technically necessary session cookies (X-Client-Id) to identify you as a user of the website without you having to log in separately. Navigation on the site is not possible without the session cookie. Session cookies are temporary and are automatically deleted as soon as you leave the website. The use of these cookies does not result in ]init[ obtaining any new personal data about you as a user of the website, but rather to ensure the operation of the website. The information generated by the cookie about your use of this website is not passed on to third parties.

Use of platform-specific cookies (X-Backend_URL)

The platform uses the X-Backend_URL cookie to ensure the connection between the frontend and backend services.

Consent via cookie banner (p_consent)

If you have consented to the cookie banner, your settings will be stored for seven days. The cookie is: p_consent. If you wish to change your settings before then, please use the cookie settings accessible via the footer of the website.

Web analysis services

The website uses a local instance of Matomo as a web analysis service. Matomo uses cookies (namely: piwik_sessid), which enable an analysis of the use of the website and thus website optimization. The information obtained through web analysis is used to further improve the website.

Your active consent is required for tracking using "Matomo". The platform informs you of this via a so-called cookie banner (the cookie used here is: CookieControl). If you decide against this option, Matomo will not collect any session data.

If you give your consent, the software will place cookies on your computer. When another individual page of the website is accessed, the following data is stored for statistical analysis

the anonymized IP address (the last four or six bytes are unrecognizable),
Information on the operating system and browser used,
geo-information,
the URL accessed,
the website from which the individual page called up was accessed (referrer site)
the subpages that were accessed from the accessed website
the time spent on the website,
the videos that were viewed and

The IP address is immediately anonymized during this process. Visitors are therefore not identifiable.

3. social plugins

The website does not use any links to social networks that already contain the code of the respective external network on the website, so-called "social plugins". There are only simple links on the website, so that no data can be passed on to external site operators during your visit to the website. By clicking on these links, you leave this website and it is possible that other data besides your IP will be processed by the linked website. 4. use of the contact form

You can contact us directly using the contact form provided. We process the information provided exclusively for the purpose of processing your specific request.

By submitting your request, you agree that we may use your information to answer your request or contact you on the basis of Art. 6 para. 1 lit. e) GDPR. Your data will not be passed on to third parties unless applicable data protection regulations justify a transfer or we are legally obliged to do so. To process your request, it is sufficient to provide an e-mail address. The additional voluntary information about your person is only used to personalize the request.

The data you send to us via contact requests will remain with us until you ask us to delete it, object to your data processing or the purpose for data storage no longer applies (e.g. after your request has been processed). Mandatory statutory provisions - in particular statutory retention periods - remain unaffected.

5 Participation in participations

Registration/login

To use the website for the purpose of participating in dialog offers, a one-time and voluntary registration on the website is required, unless you join as a guest. This requires your consent (legal basis is Art. 6 para. 1 lit. a GDPR). You can log in to the website using your user name / email address and password (the "login data").

The user is obliged to provide complete and correct information when registering and to keep this information up to date. The user is solely responsible for the security of his/her login and is liable for any activities carried out using his/her login.

In the case of a first-time registration on the website, a confirmation e-mail with an activation link will be sent to you. In order to complete the online registration process, this activation link must be clicked. In doing so, you must accept these terms of use and consent to the processing of your data.

When you register as a user for the website, you will be asked for your user name, your surname (last name, first name), your e-mail address and a password that you set yourself. This mandatory information is requested to enable you to use the website (user name, surname, e-mail address, password) and to contact you if necessary (e-mail address). In the event that you create comments or statements, your name will be used in connection with your statement or comment.

You can optionally enter further data.

Participation as a guest

Participation in the following participations is also possible as a guest. Depending on the participation, different data will be processed by you, which you can find in the respective participations described below.

Participation in surveys on the website

To prevent misuse (e.g. multiple participation), we store your e-mail address as part of a so-called double opt-in. Entering your e-mail address does not result in you receiving a user account on this platform. The e-mail address is also not stored in connection with your other entries.

The aforementioned data is stored by us to evaluate your participation (legal basis is Art. 6 para. 1 lit. a) GDPR).

When registering for an event

To register for our web conferences, webinars and events, we need your name, email address and the organization you work for. This data is processed in order to identify you as a participant in the event, to check the plausibility of the data entered, to reserve your participation place and to establish or implement the contract of participation with you.

We also need your data in order to create name badges and participation lists for other participants and to provide you with information about the event before, during and after the event. This is done to enable you to participate in the best possible way and to enable us to plan and guarantee a smooth process. Additional voluntary information about you is only used to address you personally. Data processing is carried out on the basis of Art. 6 para. 1 lit. b GDPR and only to the extent necessary for your visit to the event.

In addition to the booking and contract processing, we use the data you provide to inform you by e-mail about our other webinar offers, information events, white papers and current developments that are in the same subject area as the booked event. If this use is not based on consent or the performance of a contract, the processing is carried out on the basis of Art. 6 para. 1 sentence 1 lit. f GDPR. We have a legitimate interest in informing our participants about other events we are organizing. You can object to receiving information in this regard at any time via the unsubscribe link at the end of each newsletter or by sending an email to dialogbox@init.de and revoke your consent for the future. If you withdraw your consent, your data will be deleted immediately.

Photos and film recordings

Please note that photos and/or film recordings are regularly taken at our face-to-face events in order to document the event visually. It cannot be ruled out that you can be directly or indirectly identified in the photographs, so that this involves personal data, some of which is published online (e.g. on our homepage, in our social media channels) and in print (e.g. in the event program or the press). If you do not wish this to happen, please contact our photographer on site.

6 YouTube videos / YouTube Live

This website integrates videos from YouTube. The operator of the pages is Google Ireland Limited ("Google"), Gordon House, Barrow Street, Dublin 4, Ireland.

Your active consent is required to view an embedded video. As soon as you give your consent and start a YouTube video on this website, a connection to the YouTube servers is established. The YouTube server is informed which of our pages you have visited. If you are logged into your YouTube account, you enable YouTube to assign your surfing behavior directly to your personal profile. You can prevent this by logging out of your YouTube account.

Furthermore, YouTube can store various cookies on your end device after starting a video. With the help of these cookies, YouTube can obtain information about visitors to this website. 7 Data processing by social networks

We maintain publicly accessible profiles in social networks.

Social networks such as X (formerly Twitter) can generally analyze your user behavior comprehensively when you visit their website or a website with integrated social media content (e.g. like buttons or advertising banners). Visiting our social media presences triggers numerous data protection-relevant processing operations. In detail:

If you are logged into your social media account and visit our social media presence, the operator of the social media portal can assign this visit to your user account. However, your personal data may also be collected if you are not logged in or do not have an account with the respective social media portal. In this case, this data is collected, for example, via cookies that are stored on your device or by recording your IP address.

With the help of the data collected in this way, the operators of the social media portals can create user profiles in which your preferences and interests are stored. In this way, interest-based advertising can be displayed to you inside and outside the respective social media presence. There is an adequacy decision by the EU Commission for the USA, the Trans-Atlantic Data Privacy Framework (TADPF). Providers that are certified under TADPF have undertaken to comply with the European data protection principles and are labeled "TADPF certified" below. In the case of providers not covered by the TADPF, it cannot be guaranteed that data processing is subject to the same level of protection as within the EU. In this respect, there is a certain risk that it will be more difficult for you to enforce your rights with regard to the personal data concerning you. In addition, there is no data protection supervision in the USA that is comparable to that in the EU. 8 Processing and storage in the European Union

We use Amazon Web Services, EU, as a hosting provider in order to provide a secure and fast online service. The server location is Germany (Frankfurt am Main).

Data processing outside the European Union (EU) does not take place, as we have limited our storage location to data centers in the European Union. However, we cannot rule out the possibility that data may be routed via internet servers located outside the EU. This may be the case in particular if users of the website are located in a third country.

The EU Commission has issued an adequacy decision for the USA, the Trans-Atlantic Data Privacy Framework (TADPF). Amazon has certified itself in accordance with the TADPF and has therefore undertaken to comply with European data protection principles. In addition, an order processing agreement including the standard contractual clauses of the European Commission has been concluded with Amazon and additional measures have been agreed, even if data flows from Europe to the USA are not contractually provided for.

9. rights of data subjects

You have the right to obtain information from us about which personal data we have stored in relation to you. If your data stored by us is incorrect, you can request that this data be corrected or, if necessary, deleted. You can also request that this data be blocked so that we may only process it further with your consent. Furthermore, if you so wish, we will make your data available to you for your further use. At your request, we will also transfer your data to a recipient designated by you.

Please note that the revocation only takes effect for the future. Processing that took place before the withdrawal is not affected.
Right to object (Art. 21 GDPR)
If data processing is carried out on the basis of Art. 6 para. 1 lit. e GDPR, you have the right to object to the processing of your personal data at any time for reasons arising from your particular situation. The respective legal basis on which processing is based can be found in this privacy policy. If you lodge an objection, we will no longer process your personal data concerned unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or the processing serves the establishment, exercise or defense of legal claims.
